About the Role:
Reporting to the Project Director, we are seeking an experienced and highly organized Senior Administrative Assistant to provide comprehensive administrative support to a large construction project. The ideal candidate will play a critical role in ensuring smooth daily operations, manage communications, and coordinate project related activities within a fast-paced project environment. The role requires an exceptional level of proactivity multitasking, strong attention to detail and superior written and verbal communication.
As a Senior Project Administrative Assistant at Graham you will:
- Attend to the requirements and needs of the project managers and directors.
- Greet and engage positively with clients, visitors, and employees of Graham and its affiliates.
- Prepare meeting agendas, organize meetings, and produce minutes.
- Ensure meeting costs are in line with the direction of the team and be conscious of meeting pricing.
- Manage travel arrangements, and at times perform expense reconciliations.
- Assist with document management, ensuring that all documents are accurate and in line with standards.
- Order corporate promotional materials in line with the Code of Business Conduct.
- Develop and maintain relationships with vendors.
- Liaise with external clients, and develop and maintain relationships with parallel roles in other organizations.
- Maintain high level of professionalism with internal clients, representing Graham with high integrity.
- Manage the needs of the project team to ensure positive relationships are established and maintained.
Qualifications:
- Minimum high school diploma; Business school graduate is preferred.
- 7+ years of professional work experience in an administrative role.
- Excellent computer and typing skills.
- Proficient to advanced level skills with MS Office Suite
- Experience with document management software is a strong asset.
- Knowledge of the technology required to set up a meeting room.
- Excellent customer and effective communication abilities and interpersonal skills.
- Time-management skills and the ability to prioritize tasks.
- Courteous, helpful, and professional demeanor.
- Highly proactive with the ability to work independently and without supervision.
Working Conditions:
- This role is primarily based at the project site office.
Compensation:
- $62,000 – $85,300 per annum
- Salary will commensurate with experience

- 3 to 5 weeks of vacation per year, with credit for prior industry experience
