About the Role:

Reporting to the Office Manager, the Receptionist is responsible for all activities within the reception area and executes tasks in accordance with company policies and procedures while adhering to Graham’s Code of Business Ethics & Conduct. The Receptionist will perform administrative and clerical duties, including greeting and directing visitors, answering incoming calls, responding to emails, managing incoming and outgoing mail, and assisting the administration team with room bookings, catering, and transportation needs. As the first point of contact when guests enter the office, the Receptionist will need to deliver effective customer service to all clients, visitors, and employees of Graham and its affiliates. 

 

As a Receptionist at Graham you will:

 

  • Manage and maintain reception areas in office - Ensure front office boardrooms and reception kitchennete are kept tidy. 
  • Organize and restock the supply room
  • Perform general administrative tasks and assist the administration team and other departments with administrative duties as required
  • Collection and distribution of incoming/outgoing mail
  • Arrange courier deliveries 
  • Maintain office meeting room calendars and schedules
  • Order supplies and retain invoices for records
  • Greet all office visitors in a professional manner, determine their needs, and direct them to the appropriate contact or service
  • Answer and forward all incoming calls to the proper department or contact
  • Monitor phone system, ensuring voicemail is checked and dealt with accordingly
  • Order lunches for meetings and training sessions
  • Manage requests and inquiries from clients, visitors, and employees in a timely, constructive, and respectful manner
  • Help organize or facilitate staff celebrations ( office events, holiday parties, BBQ's, etc.) 
  • Assist with coordinating " Lunch and Learn" events

 

Qualifications/Experience:

 

  • Minimum high school diploma; Business school graduate is preferred
  • 2+ years of professional work experience in a high-volume office in an administrative or receptionist role
  • Construction Experience is an asset
  • Positive attitude with a strong work ethic and reliability
  • Able to handle inquiries, resolve issues, and provide a positive experience for visitors
  • Able to handle unexpected situations or conflicts with a calm and solution-oriented approach
  • Experience in handling office equipment ( phone systems, copiers, scanners, etc.) 
  • Proficient in Microsoft Suite ( Word, Excel, Powerpoint, Adobe) and able to learn new software quickly. Familiarity with Blue Beam and SAP is an asset
  • Stay updated with latest technology
  • Professional and effective communication abilities and interpersonal skills
  • Attention to detail and ability to prioritize tasks
  • Strong customer service skills with a friendly and approachable demeanor
  • Ability to work effectively as part of a team and also capable of working independently when needed
  • Able to handle a fast-paced environment and adjust to changing priorities with ease
  • Excellent problem solving skills
  • Willingness to learn new things
  • Flexibility with standard work hours as hours may be varied at times to accommodate business/project requirements.
