About the role
Reporting to the Site Manager, the Office Manager is responsible for overall office administration activities at the project site office in Superior, Wisconsin.
As an Office Manager at Graham, you will:
- Oversee the day-to-day administration of multiple work locations, including reception, mail, courier services, supplies, and other logistical requirements, ensuring consistency at all locations.
- Supervise the maintenance and alteration of office areas and equipment, including allocation of workspace based on fluctuating requirements, as well as layout, arrangement, and housekeeping of office facilities.
- Work with Document Control and the Legal Team to ensure consistent archiving, handling, and disposal of all project documents based on records retention policy.
- Supervise the maintenance of office equipment, including copier, fax machine, projectors / monitors in boardrooms, at reception, break rooms, etc.
- Oversee the building’s day-to-day operations (such as dealing with heating, cooling, lighting, and plumbing issues, distributing building access keys and back-up to security access cards, etc.).
- Liaise with facility management / landlord for facility maintenance.
- Participate as needed in special department projects.
- Develop and maintain relationships with vendors, in particular with the building’s landlord, ensuring Graham’s best interests are always a priority.
- Maintain high level of professionalism with internal clients, representing Graham with high integrity.
- Ensure evacuation procedure is in place, all employees are familiar with it, and regular drills take place.
- Participate in Joint Occupational Health & Safety Committee.
Qualifications & Experience:
- Minimum high school diploma: Business school graduate is preferred
- 5-7 years of professional work experience in an administrative role
- Experience managing facility administrative requirements, including office logistical planning, and supply procurement
- Experience with MS Office Suite, MS Teams; experience with SAP is an asset
- Professional and effective communication abilities and interpersonal skills
- Time-management skills and the ability to prioritize tasks
- Courteous, helpful, and professional demeanor
- Ability to work independently and without supervision
- Ability to meet deadlines and find proactive solutions
- Physically able, with or without accommodation, to work in indoor and outdoor environments with uneven terrain
- Ability to work in variable environmental conditions include heat, dust, noise, and chemicals
- Ability to conduct field work and wearing associated personal protective equipment, including but not limited to gloves, safety glasses/googles, safety shoes/boots, hard hat, and hearing protection
