Graham is actively recruiting for a Site HSE & Administrative Coordinator supporting the Services Division. Reporting jointly to the HSE Senior Coordinator and the Site/Project Manager, the Site HSE & Administrative Coordinator plays a dual role in supporting both Health, Safety, and Environment (HSE) functions and general site administration.

 

The incumbent is a key liaison between site teams, vendors, internal departments, and contributes to maintaining a safe, organized, and efficient work environment..

 

This is a 7/7 Fly In-Out site based role in Fort McMurray Project.

 

Your Role in Building What Matters – From Office to Site 

  • HSE & Quality Documentation Management - Maintain, control, archive, and ensure compliance of HSE and Quality Management System documents (SharePoint, filing, document control standards).
  • Operational & Administrative Support to Site Teams-Provide daytoday admin support to site leadership (SMs, PCs, Superintendents), including meeting minutes, reporting, documentation, and travel to project sites as required.
  • Planning, Reporting & Process Coordination - Prepare KPI, training, labour, equipment, and project hours reports; maintain the Monthly Operations Calendar; support project controls documentation.
  • Financial & Expense Administration - Track, reconcile, and report expenses; manage pCard usage, invoices, purchase orders, and office budgets with cost awareness and environmental alignment.
  • Inventory, Client & Stakeholder Support-Manage HSE materials and office supplies inventory; support client reporting and communicate HSE requirements while representing Graham professionally.
  • Build and maintain strong relationships with vendors, internal clients, and project teams, serving as a key site contact.

 

The Right Tools for the Job 

  • Education: High School Diploma required; Diploma or degree in Business or Occupational Health & Safety related field preferred
  • Experience: 2-3 years of experience in site administration, project administration. Experience in construction, engineering or heavy manufacturing is an asset
  • Software: Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook)
  • Certifications: Valid Driver’s License
