Graham is recruiting a Document Controller to support the Infrastructure Division. Reporting to the Document Control Manager, this role is responsible for receiving, managing, tracking, maintaining, and distributing project documentation to internal and external stakeholders in accordance with Graham’s document distribution matrix using an Electronic Document Management System (EDMS). The Document Controller also provides training to internal and external team members on Graham’s and client‑specific document control procedures and contractual requirements, which may vary by project.
Your Role in Building What Matters – From Office to Site
- Manage Project Documentation: Receive, process, track, maintain, and distribute project documents to internal and external stakeholders in accordance with Graham’s Document Distribution Matrix using an Electronic Document Management System (EDMS)
- Ensure Document Accuracy & Compliance: Review documents for accuracy and completeness, identify discrepancies, manage revision control, and ensure all documentation meets contractual and project requirements
- Maintain Systems & Metadata: Enter documents into the EDMS with accurate metadata, maintain document registers, and ensure timely processing in line with service level agreements
- Support Project Teams & Stakeholders: Act as a key liaison with project teams, clients, engineers, and subcontractors, providing clear communication and timely document support
- Train & Guide Users: Train internal and external team members on Graham’s document control procedures, EDMS usage, and client‑specific or contractual document requirements
The Right Tools for the Job
Education & Experience: High school diploma required, with 1–7 years of relevant document control or administrative experience depending on level, ideally supporting construction or infrastructure projects
Technical Skills: Strong document management capability using EDMS platforms (e.g., SharePoint, InEight, Aconex, Procore), with solid understanding of metadata, revision control, and engineering drawings
Core Competencies: Highly organized, detail‑oriented, and able to manage competing priorities in a fast‑paced environment while meeting strict document processing timelines
