About The Role

 

As a member of our Buildings group, you will contribute to the successful execution of the Dawson Creek Hospital project. Reporting to the Project Director, as a Site Administrative Assistant position your duties will include but not be limited to: Assisting in paperwork for Superintendents and Project Managers, document control, filing, collecting data for timesheets, health, safety, environment and quality management systems, subtrades, recording meeting minutes and general office duties.  This position provides support in an administrative role for the operations group with flexible hours and schedule based on an average of 3 days or 24 hours per week.

 

 

As a Administrative Assistant at Graham, you will:

 

  • Booking site personnel travel
  • Processing credit card purchases of supplies and miscellaneous items
  • Courier delivery and parcel pickup
  • Organizing meetings and arranging catering
  • Receiving deliveries and tracking in purchase order system
  • Tracking and ordering office and janitorial supplies as required
  • Be responsible for taking meeting minutes and other correspondence as required
  • Maintain the filing system including setting up new files (hard copy and electronic versions)
  • Assist Project, Health and Safety and Quality Management Staff in developing and maintaining document and information databases, logs and records.
  • Prepare information packages in hard copy and/or electronically to support field staff in efficient execution of site meetings, inspections and record keeping.
  • Data entry to MS Office applications and other specific software.

 

 

Qualifications/ Experience:

 

  • A High School graduate, Administration Diploma or equivalent experience.
  • A minimum of 50 WPM typing skills, with good formatting and grammatical skills.
  • Good written and verbal communications skills.
  • Strong interpersonal skills and ability to excel in a team environment.
  • Strong work ethic.
  • Strong computer skills.
  • Word processing skills using MS Office (Word, Excel, Outlook, PowerPoint) Visio.
