About The Role

Reporting to the Job Cost Administrator Supervisor, the Job Cost Administrator/Site Administrator is responsible for providing accounting and transactional support for projects related to time entry, LEMS, owner billings and subcontract administration as well as administrative and clerical support to the site. The incumbent helps with day-to-day tasks and streamlines efficiencies of the team. The incumbent is responsible for executing tasks in accordance with company policies and procedures, and in compliance with project contractual terms and conditions, Union Agreements, and tax legislation. The incumbent is a representative of the Operations Accounting function and works closely with Operations Project Coordinators, building collaborative working relationships and dedicated to meeting internal client requirements. This will be on a 5 days on, 2 days off (Sunday to Thursday) hybrid office schedule in Calgary or Edmonton location.

 

As a Job Cost Administrator/Site Administrator at Graham, you will:

• Coordinate travel and logistics arrangements for Operations employees/Craft, both scheduled and unscheduled, including flights, camp accommodations, often on a quickly evolving and time-sensitive basis

• Conduct regular audits of travel booking system to remove errors and anomalies.

• Ensure travel service providers invoice correctly

• Assist with general transactional accounting processes and month-end procedures.

• Support site team with necessary tasks

• Provide support with the administration of subtrade contracts in adherence with company policy and Work with site individuals to ensure proper maintenance of expenses and receipts, and create expense reports as required

• Enter data for owner progress billings (including change orders), ensuring complete, accurate, and timely billings, and providing all necessary backup

• File documents and time cards, to ensure proper allocation of files and equipment

• Perform complete timekeeping entries and assists in the creation of regular LEMS reporting, in line with owner requirements, and compliant with union agreements and labour standards.

• Ensure expenses, invoices, and POs are all reconciled, and provide justification to modification of expenses

• Provide support for accounts receivable, collections, and deposit of payments as required.

• Possess an awareness of company policies, procedures, and internal controls at the project level, including project setup and cost accounting.

• Apply government, Provincial/State regulations and taxes to ensure compliance at the Project level and seeks support as required.

• Utilize documented accounting processes to execute day-to-day work procedures.

• Demonstrate an awareness of JV/Project contract terms and conditions in relation to project setup, billing requirements, costing, tax compliance, and labour standards/rates.

• Demonstrate an awareness of Contract Management and Administration including: New Entity/JV/Project setups for AR, billing, and costing.

• Demonstrate HSE and Quality behaviors that reflect corporate expectations of Actively Caring and Road to Zero.

 

Qualifications/Experience:

• High School Diploma required. A Degree or Diploma from a University or Business College in a related field is preferred.

• 1 - 3 years of experience in accounting or project administration.

• Accuracy and attention to detail.

• Deadline oriented.

• Developing verbal and written communication skills.

• Basic understanding of accounting and job costing principles.

• Experience in Construction, Engineering or Heavy Manufacturing Industries is considered an asset.

• Accurate data entry skills.

• Proficient in using Microsoft Office

• Excellent MS Excel skills

• Working knowledge of ERP systems, SAP preferred.
